1.1. Fundacja Piłkarstwa Polskiego (Polish Football Foundation) with its registered office in Warszawa (02-366), ul. Bitwy Warszawskiej 1920 r. nr 7, entered into the register of associations, other social and professional organisations, foundations and public health care institutions of the National Court Register kept by the District Court for the capital city of Warszawa, 12th Commercial Division of the National Court Register, under KRS (National Court Register) number: 0000383389, REGON (Polish Business Registry Number): 012904011, NIP (Tax Identification Number): 5262655561 (hereinafter referred to as the Organiser) is the organiser of the 1st International Football Film Festival.

1.2. The Festival will take place from 25 to 27 May 2018 in Warsaw, in venues selected by the Organiser.

1.3. Detailed information on the Festival profile and Festival sections can be found on the official website of the Festival:

1.4. Pursuant to the Organiser’s decision, it is possible to submit feature, documentary, animated and experimental films as well as innovative visual productions to the Festival.

1.5. Films for selection should be submitted in the following way:

● via the submission form available on the website;

● by sending a public or private link to the film, with or without a password, and with unlimited time and territorial access (e.g. Vimeo, YouTube, etc.) or by sending a DVD to the address of the Foundation

1.6. The Festival does not charge fees for submitting a film.

1.7. The Organiser designates the Programme Director to select and invite films to the Festival. The Festival Selection Committee reserves the right to choose the section in which the submitted film will be shown.

1.8. Once a film has been selected for the Festival, it cannot be withdrawn from the programme after 15 April 2018




Films that exceed 40 minutes in length, produced after 1 January 2017, may participate in the Competition in accordance with §1 point 1.4 and 1.5


Films that do not exceed 30 minutes in length, produced after 1 January 2016, may participate in this section in accordance with §1 point 1.4 and 1.5




The best documentary and feature films about football produced before 2016



4.1. The deadline set by the Organiser for filing submission forms referred to in points 1.4 and 1.5 is 31 March 2018.

4.2. Sending a film within the deadline specified in the preceding section together with a fully completed submission form and a set of mandatory annexes is a prerequisite for films to be accepted for selection.

4.3. The Organiser will notify the Submitting Party of the acceptance of the film to the programme by 5 April 2018. The Organiser will only notify those Submitting Parties whose films have been accepted to the programme of the selection results. The Festival Selection Committee is not obliged to justify its selection decisions.

4.4. Copies of films selected to the Festival should be delivered to the Organiser’s office in Warsaw by 15 April 2018.

4.5. The Organiser reserves the right to announce the Festival programme on the websiteno later than 30 days before the start of the Festival.

4.6. During the Festival, all films must be presented in their original language versions with English and Polish subtitles. The Organiser prefers copies with English subtitles. Polish subtitles are presented in the electronic subtitles synchronisation system. Submitting Parties are required to provide the organisers with an original dialogue list, a list of English subtitles and a link to the film or a DVD with English subtitles.

4.7. For every selected film the Festival Organiser must receive: a synopsis of the film, stills of the film, and biography and filmography of the director by 15 April 2018.

4.8. The screening schedule is prepared by the Festival Programme Director.



5.1. The Submitting Parties will be asked to send promotional materials for selected films (including posters, flyers, trailers, etc.).

5.2. The Organiser reserves the right to use fragments of selected films (not exceeding 3 minutes), and to publish information about such films on the Festival website and in any other promotional publications regarding the Festival (including: catalogue, programme, press releases, etc.).

5.3. The Organiser reserves the right to use promotional materials both during and after the Festival.

5.4. The Organisers may make materials about the film (including photos), film trailer or provided fragments of the film available to the media, television stations and partner websites.



6.1. Films selected for the Festival programme should be delivered to the Organiser on the following carriers: DCP, 35mm, Blu-ray or as a file.

6.2. All shipping costs of film copies are incurred by the Submitting Party unless otherwise agreed.

6.3. All copies of films presented at the Festival are insured by the Organiser from the moment they are delivered to the Organiser’s office until they are handed over to the courier in order to be returned to the Submitting Party.

6.4. The Festival Organiser is responsible for the protection of a film copy from the moment of collecting it from the shipping company to the moment of handing it over to the shipping company, subject to the stipulation that the Organiser’s responsibility for damage to or loss of the copy is limited to the cost of making a new copy according to the applicable laboratory rates (standard copy).

6.5. Damage to the film copy must be reported to the Organiser’s office in writing within one month of the date of returning it.

6.6. All films presented at the Festival will be sent back no later than by 30 June 2018 unless the Organiser and the Submitting Party specify otherwise.



7.1. The Submitting Party may only submit films to the Festival to which the Submitting Party holds rights entitling them to submit such films to the Festival and to screen them during the Festival, including copyright and related rights. In particular, the Submitting Party submitting the Film to the Festival is required to ensure that:

1) the Submitting Party holds proprietary copyright to the submitted film (including rights to music used in the film) or relevant licences in this respect,

2) the Submitting Party holds related rights to the submitted film or relevant licences in this respect,

3) the reproduction of physical likeness of persons carried out in relation to the submission of the film to the Festival or to the screening of the film during the Festival does not infringe the personal rights of such persons,

4) all persons appearing in photographs consent to their public presentation and use by the Organiser,

5) the Submitting Party has the right to send the work to the Festival.

7.2. The Organiser reserves the right to refuse to accept the film for selection at the Festival, to suspend the participation of the film in the Festival or to withdraw the film from the Festival in case of becoming aware that the film submitted to the Festival or its screening during the Festival may infringe copyright, related rights or personal rights of any third parties.

7.3. If any third parties assert claims against the Organiser in relation to the infringement of copyright or related rights they have to the film or its individual elements or their personal rights, the Submitting Party will be required to redress the damage suffered by the Organiser and to incur all costs associated with such claims (article 392 of the Civil Code).

7.4. The provisions provided for in points 7.1-7.3 also apply to promotional materials referred to in § 5.



8.1. The Organiser processes personal data provided by the Submitting Party based on the Submitting Party’s consent in accordance with article 23 section 1 point 1 of the Personal Data Protection Act of 29 August 1997 and article 6 section 1 point a) of the General regulation of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as the “General Data Protection Regulation of 27 April 2016”).

8.2. Data processed by the Organiser include personal data of persons listed on the submission form and persons included on the payroll, in particular filmmakers and performers. The processing of data includes the following personal data:

1) name and surname,

2) e-mail address,

3) telephone number,

4) occupation.

8.3. The Organiser may process provided personal data for administrative purposes and to properly organise the Festival, i.e. to select the film for the competition and to screen it.

8.4. Once the purpose of data processing ceases to exist, all data will be deleted within 30 days counting from 1.06.2018.

8.5. The Organiser is authorised to entrust other entities with the processing of personal data to the extent necessary for the purpose of data processing.

8.6 Fundacja Piłkarstwa Polskiego, with its registered office in Warsaw (02-366) at ul. Bitwy Warszawskiej 1920 r. nr 7, will be the administrator of personal data. Personal data will be processed in accordance with the provisions of the Personal Data Protection Act of 29 August 1997 (Dz.U. [Journal of Laws] of 2002, No. 101, item 926, as amended) and the General Data Protection Regulation of 27 August 2016.

8.7 The provision of personal data by the Submitting Party is voluntary. The Submitting Party has the right of access to their data and the right to correct, delete and limit the processing of data , the right to transfer data, the right to object, the right to withdraw their consent at any time without affecting the lawfulness of the processing of data which was carried out based on such consent before its withdrawal, and the right to lodge a complaint to the Inspector General for the Protection of Personal Data – and after 25 May 2018 – to the President of the Personal Data Protection Office if the Submitting Party finds that the processing of personal data violates the provisions of the Personal Data Protection Act or the General Data Protection Regulation of 27 April 2016.

8.8 The recipients of the Submitting Party’s personal data (in the scope specified in § 5 point 5.5 of these Regulations) include the media, TV stations and partner websites.

8.9. The Submitting Party’s data will not be subject to the decision which is based solely on automated processing as defined in article 22 section 1 of the General Data Protection Regulation of 27 April 2016.



9.1. Submitting a film to the Festival is tantamount to the acceptance of the provisions of these Regulations. Matters not included in these Regulations will be settled by the Festival Programme Director.

9.2. The films selected for the competition shall be made available to the festival organisers free of charge.

9.3. These Regulations enter into force on 8 January 2018.
